Tips for Organizing an Outdoor Event

Whether you’re planning a big garden party or a music festival for your local community in the summertime, outdoor events can be a lot of fun to put on. Nonetheless, they do require a lot of careful planning, especially if you are going to be using public land for the event in question. While there will be various steps you will need to take to organize an outdoor event successfully, below are some quick tips to keep in mind to help you get started.

Hopefully, you won’t have any rainy spells for the duration of your event, but it’s always better to be prepared for this regardless of what the weather forecast says. Having sheltered spaces spread out across your event space is key, as this will not only be useful in case of rain but it can also offer shaded spots in hotter weather, which are just as important. You can use large marquees with seating underneath or build wooden structures with covers over the top if this is preferable and within your budget.

  • Suitable Parking

You will also need to think about visitors who will be arriving in cars and make sure that there is adequate parking space for all of these vehicles. While parking up on the grass or a dirt patch can work, you might find that using outdoor rubber flooring is a better option. This can help to protect the ground underneath better, but it will also be more suitable in case of rain.

  • Proximity to Residences

Outdoor events can be a lot of fun, but they can also produce a lot of noise and disruption to residents as well. Do be mindful of how close you are to residential houses and other businesses, and make sure you understand the restrictions you need to follow under the local council laws. If your outdoor event is in the middle of nowhere, you still need to consider the impact it can have on the local environment, and checks will need to be made regarding this. 

  • Power for the Event

You will also need to make sure you have hired generators and have access to power sources for your event. This will allow you to keep the music going, serve refreshments, and other important aspects of the event that can help keep your guests comfortable and entertained. Do remember to factor this into your event budget and get a few different quotes for generators before you commit.

  • Staff for the Event

Having a team of enthusiastic people to help you organize and run this event is also a must, and this is something you will need from the very beginning. You can get some volunteers on board to help you manage the event on the day, and offering free entry into your event could be a good way to show them your appreciation. It can also work as an incentive to get more people to volunteer to help out. 

There are many other important aspects to running an outdoor event you will need to think about, but these are all good places to start when you are putting plans together.
